SUMMARY/SCOPE:

This position provides operational support for Slate Customer Relationship Management (CRM) and is part of the Technology Services team. Operational support work involves assisting the offices of Alumni and Advancement by applying Slate knowledge to maintain functionality, resolve processing issues, provide Slate training, create Slate training materials, and answer questions related to Slate from staff, student workers, and other constituents.

Responsible for all matters pertaining to the implementation and operation of Slate CRM to increase connections and engagement with alumni and prospective donors with the goal of enhancing the university’s fundraising efforts. This position performs the daily operations of the Slate CRM, including system maintenance, query development, process automation, data integrity, system security, integration with other campus systems, staff training, and the configuration of new Slate features.

Must be able to work with multiple constituents in a manner congruent with the image and mission of the University. Constituents include but not limited to: alumni, prospective donors, trustees, other college/university personnel, and various internal personnel.

Slate CRM

Responsible for all matters pertaining to the implementation and operation of a Customer Relationship Management system (CRM) to increase connections and engagement with alumni and prospective donors.

Perform daily operations of the Slate CRM, including system maintenance, query development, process automation, data integrity, system security, integration with other campus systems, staff training, and the development of new Slate features.

Build email campaigns targeting specific alumni and prospective donor audiences.

Assist in the planning and carrying out of alumni and advancement focused messaging from concept to delivery to tracking and reporting. 

Assist in the implementation of Slate and Ellucian processes and procedures to assist alumni and advancement functions including document workflow and processing and developing recurring and ad-hoc queries and dashboards.

Perform daily functions and processes including alumni and donor record maintenance, recurring and ad-hoc imports and exports, process automation, nightly file transfers between Slate and Ellucian, and other tasks to ensure system performance and maximize system efficiency.

Maintain features and capabilities of CRM components, ensuring they are functional, and troubleshoot and resolve issues as required.

Collaborate with Alumni and Advancement teams to implement and maintain a comprehensive communication plan and build communication flows to contact alumni and prospective donors.

Ensure that data related to alumni and prospective donors is collected, input and maintained in a manner that effectively supports alumni and donor relationship management and increases donations.

Document processes, develop procedure manual, and provide support and CRM training to staff on an ongoing basis.

Provides support for the Alumni and Advancement offices regarding event management, including event registration and post-event surveys.

Provide weekly, quarterly, and annual reports to Vice President for Institutional Advancement.

Must be able to work on multiple software platforms to include Microsoft Excel, Word, Outlook, and Slate, our Customer Relationship Management system. Knowledge of the Internet, Instant Message and Social Media required. HSU is an Ellucian/Colleague database school.

Adheres to guidelines in the University Personnel and Safety Handbooks and departmental policies.

Performs other duties as assigned

COMPUTER SKILLS: To perform this job successfully, an individual should have knowledge of the Microsoft Office Suite of products.  Additionally, knowledge of SQL databases and/or Slate Customer Management Systems is preferred.

EDUCATION/EXPERIENCE:

High school diploma or general education degree (GED); is required. Bachelor’s Degree is preferred.

One year of related experience is preferred or combination of education and experience.

ADDITIONAL INFORMATION:

This is a Non-Exempt, Full Time Hourly Position.  This position requires a regular 40-hour workweek at minimum (plus occasional overtime). 

Working beyond a normal 40-hour week, including evenings and weekends, is possible during peak season and/or to meet internal deadlines.

Non-Exempt/Hourly employees who work beyond 40 hours during a single work week will be compensated at time and a half, per FLSA guidelines.

Must have and maintain a valid Class C Driver’s License and maintain a clear driving record to be insurable under the university liability policy.

Must be able to drive to complete work assignments on and off campus, as needed

Additional travel may be required on occasion in order to attend training, etc.
