POSITION:  Student Account Representative - Cashier (Non-Exempt) *2 Openings

HSU JOB FAMILY CLASSIFICATION: Finance & Accounting Professional I or II

DEPARTMENT:  Business Office

SUPERVISOR TITLE:  Student & Clinical Accounts Manager/Cashier

FLSA STATUS:  Non-Exempt

LOCATION:  HSU Campus, Abilene, TX

SUMMARY/SCOPE: This position is responsible for assisting the Student and Clinical Accounts Manager in providing cashier duties to the campus, maintaining student accounts, administering student payment plans, overseeing collection efforts for unpaid student balances, overseeing all student loan programs, assisting in maintaining student accounts, by competently and professionally performing the duties discussed below.

HSU JOB FAMILY CLASSIFICATION INCLUDES THE FOLLOWING:

ESSENTIAL DUTIES AND RESPONSIBILITIES: These examples do not include all possible tasks & do not limit the assignment of related tasks.

Provide cashier window services to the campus.  These services included, but are not limited to refund checks, distribute certain payroll checks, cash request, student payments and departmental deposits.

Pull electronic bank transactions daily and receipt accordingly.

Prepare and complete the daily close process by reconciling call cash receipts to deposits.
Oversee cash receipts for significant batch donations and receipts from other department’s activities.

Receipt Deposits from the admissions software.

Manage Funds returning from BankMobile and reconcile back to the student account.

Analyze chargebacks and reconcile back to the student account. 

Manage any collection accounts with Collection Agencies.

Run Weekly Reports: Oversee all student loan programs managed by HSU (NFLP, CIOS, etc.)

NFLP: Manage the relationship with Heartland ECSI.

Prepare Exit Counseling Loan Information from ECSI website.

Reconcile ECSI report to the general ledger.

Ensure all required paperwork is obtained for loans.

Oversee collections on both former and current student accounts.

Assist with collection of current student account balances:

Insufficient Late Notices: Oversee all communications to students including 30-day letters to notify students of balances that will be sent to a collection agency if not paid in full.

Manage the relationship with the collection agencies: Run monthly reports.

Maintain and monitor student accounts placed with collection agencies.

Place delinquent accounts with collections.

Work with collection agencies to return accounts for write off.

Process credit bureau disputes on e-Oscar website.

Reconcile student account balances with collection accounts.

Work closely with other departments to ensure student account issues are resolved timely and accurately.

Ensure Proper documentation is maintained for all activities according to policy.

Work with students and families in helping them with their student account via phone, email, and face to face.

Additional duties may be assigned from time to time by the Student and Clinical Accounts Manager.

No supervisor responsibilities, except for supervision of student workers.

KNOWLEDGE, SKILLS, & ABILITIES (Language, Mathematical, Reasoning and Computer Skills):

LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS: Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS: To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; Payroll systems; Order processing systems; Internet software; Contact Management systems and Accounting software. 

EDUCATION/EXPERIENCE: 

Bachelor’s degree in any discipline preferred, but not required.  

Work experience beyond college preferred; experience in higher education a plus.

Previous customer-service oriented work, including the ability to establish and maintain effective communication with students, parents, faculty and staff preferred.

ADDITIONAL INFORMATION:

This is a Non-Exempt, Full Time Hourly Position.  

This position requires a regular 40-hour workweek at minimum (plus occasional overtime). 

Working beyond a normal 40-hour week, including evenings and weekends, is possible during peak season and/or to meet internal deadlines.

Non-Exempt/Hourly employees who work beyond 40 hours during a single work week will be compensated at time and a half, per FLSA guidelines.

Must have and maintain a valid Class C Driver’s License and maintain a clear driving record to be insurable under the university liability policy.

Must be able to drive to complete work assignments on and off campus, as needed.
