SUMMARY/SCOPE:

Implement the daily operations of alumni engagement programs and activities. Responsible for planning various university alumni activities and manages the operations for two university boards.

HSU JOB FAMILY CLASSIFICATION INCLUDES THE FOLLOWING:

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

Develop and implement programming, initiatives, cultivation events, and services to include developing project/program timeline; define guest experience; develop program content, train or provide information to volunteers to perform event role; and create survey tools and/or reports to analyze event success.

Implement communication plan/strategies by developing content of message or writing: information, newsletters, and updates and delivering through a variety of media including: (sending) mass email/listserv, social media presence, websites, video, and other media (e.g., brochures, newsletters, magazines). Research best practices of alumni/donor relations concepts and programs. Evaluate information/data, analyze practices, prepare reports, develop and propose solutions, and implement operational changes.

Administer collegiate/campus awards programs/processes including setting deadlines, communicating process, writing nominations, communicating awards, etc.

Monitor and evaluate the performance and/or service delivery of vendors/partners to include recommendations for the renewal of vendor/partner contracts.

Represent advancement operations by initiating contact with and providing information to boards, committees, alumni, donors, friends, volunteers, other departments within the college; other University colleges and departments, and external organizations.

Define information/data to be collected (e.g., database) and reported to evaluate alumni engagement/advancement operations programming, services, and initiatives.

Research and resolve complicated alumni/member/donor concerns/issues, and develop standard information (e.g., FAQs) to guide others in providing information.

Supervise the Alumni Engagement student workers and manage all volunteers.

Responsible for all alumni social media platforms; includes creating posts, replying to comments, and tracking analytics.

Maintain accurate alumni participation metrics for events.

Execute a successful unity ring program.

Serve as needed as a staff liaison for various campus committees.

Manage the upkeep of the Alumni website.

Provide Alumni-related materials for the Ranger Rider including Family News and Friend’s We’ll Miss sections.

Provide weekly, quarterly, and annual reports to supervisor.

Maintain confidentiality concerning personal records and other private information.

Attend professional development conferences and training.

Other duties as assigned by the Director for Alumni Engagement.

SUPERVISORY RESPONSIBILITIES:

Supervisory responsibilities for multiple student workers as well as providing oversight and coordination with various approved HSU volunteers for campus events.

KNOWLEDGE, SKILLS, & ABILITIES (Language, Mathematical, Reasoning and Computer Skills):

LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.  

MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS: To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; Payroll systems; Order processing systems; Internet software; Database software and Contact Management systems.

EDUCATION/EXPERIENCE:

Assistant Director position requires a bachelor’s degree in business, student services or a discipline related to this position.

A bachelor’s degree from Hardin-Simmons University is preferred.

3+ years of related work experience in addition to the degree requirement is preferred.

Coordinator position requires 1-2 years related experience and/or training
or 4 years combined equivalent education and work experience.

ADDITIONAL INFORMATION:

The Coordinator or Assistant Director of Alumni Engagement is a Non-Exempt/Hourly Staff position.

This position requires a regular 40-hour workweek at minimum (plus occasional overtime).
Candidate must be able to work non-traditional hours, including nights and weekends depending on the time of year.

Non-Exempt/Hourly employees who work beyond 40 hours during a single work week will be compensated at time and a half, per FLSA guidelines.

Must have and maintain a valid Class C Driver’s License and maintain a clear driving record to be insurable under the university liability policy.

Must be able to drive to complete work assignments on and off campus, as needed.

Additional travel may be required on occasion in order to attend training, events, etc.
